Invoices come in from all over: a PDF via email, a scanned receipt, a statement downloaded from a website—each vendor with its own format. Someone opens each file and manually enters the vendor, invoice number, taxes, and amount into the accounting system, line by line. One transposed digit results in an incorrect payment or a duplicate invoice, and by the end of the month, the pile grows faster than it can be entered. The month-end closing doesn’t wait for the accounts: it waits for someone to finish typing them in.
Templates and rigid OCR don’t solve the problem—they just shift it: as soon as a vendor changes the layout of its invoice, the rule that used to work no longer recognizes the fields, and it has to be rewritten. ClicScan extracts subtotal, tax, and total as separate fields, each with its own level of confidence measured during the extraction. When an amount falls below the expected threshold, it flags it as pending review instead of accepting it as valid. What ClicScan does not do is validate those amounts against your accounting records or an external system: it delivers the data and flags questionable entries, and the final reconciliation is performed by your team or your system. Nothing is invented or reported as accurate without being so.
Yes. ClicScan extracts the currency as an additional field—currency—just as it appears in the document, along with the corresponding amount. An invoice in dollars and another in euros each arrive with their currency tagged, without you having to separate them first. What ClicScan does not do is convert exchange rates: it delivers the amount and its currency as structured data, and the conversion—if your operation requires it—is handled by your system. Each field comes with its own confidence level, just like the rest of the process.
